How to record extra work with a change request
How do I record extra work without losing the original scope?
Keep the original estimate and prepare a separate change request. Describe the additional work, why it is needed and its added amount. Review the change with the client using your agreed approval process. Docfinish creates the record but does not send it, collect approval or verify a signature.
Separate the original job from the new request
Save the original estimate and a job backup before editing. In the job workspace, switch to the Change request document and add the change description and reason. Refer to the original job reference so the two documents can be understood together.
Explain what changes in practical terms
Name the additional task, the affected area and any assumptions. Explain whether it changes the schedule or depends on another decision. For example, replacing an extra damaged panel is clearer than additional repair. Avoid combining unrelated requests in one unexplained amount.
Check the amount and approval record
The change amount is additional work only. It does not silently revise the original estimate or calculate extra tax. Confirm your final figures and communicate any relevant adjustments yourself. Space for an approval record is not proof that approval happened. Keep the client’s actual response alongside the document.
Use the record at handover
Export and review the change PDF, then send it through your own channel. Keep versions so you can distinguish proposed, agreed and completed work. When preparing the completion record, describe the work actually completed and any unresolved items. The documents help organise the facts; they do not decide a dispute.
